Set Up Time Tracking for Your Whole Team

Workspace defaults in Rize set the tracking schedule, notifications, and time entry settings every member starts with. Apply them to the whole workspace in one action, and every new member inherits them when they accept an invitation. Consistent settings mean reports that line up across people and teams.

How it works

Set the settings once, so every member's data is comparable from the first week.

01

One Defaults Tab for the Workspace

Workspace admins open Members and click Defaults. Preferences, Tracking, and Notifications each have their own Save button, so changing the tracking schedule does not touch the notification settings.

02

Consistent Time Entries

Preferences sets the language, the time entry size, and the minimum time entry size for everyone. When one person's minimum entry is five minutes and another's is thirty, their reports do not line up. Defaults remove that gap.

03

A Tracking Schedule per Weekday

Tracking sets the automatic tracking schedule with one row per weekday, so Rize starts and stops tracking on your team's working hours. Turn every day off for unrestricted tracking.

04

Notifications Set Once

Switch break notifications, the distraction blocker, meeting notifications, and focus notifications on or off for the whole team. A pilot that should not interrupt anyone starts quiet from the first day.

05

Apply to Everyone, Inherit on Join

Apply to all users pushes the saved defaults to every active member, admins included, after a confirmation. Anyone who accepts an invitation afterwards inherits them automatically, before their first tracked hour.

06

Adjust One Person Without Changing the Rest

Each member's edit sheet has the same notification and tracking controls, so an admin can change one person's settings and leave the workspace defaults alone. The members table shows each member's manager, and Export CSV downloads the roster.

Set up defaults in three steps

Save the defaults before inviting the team, and the first week's data starts consistent.

01

Set and save the defaults

Open Members, then the Defaults tab. Fill in Preferences, Tracking, and Notifications and click each section's Save. From then on, every member who accepts an invitation inherits them.

02

Apply to everyone already here

Click Apply to all users and confirm. Rize updates every active member, including admins, in the background within a few minutes. It overrides personal changes to those settings, so tell the team first.

03

Adjust individuals afterwards

Open Edit member for anyone who needs something different. Their Agent and Tracking tabs hold the same settings, so one person can differ without changing the defaults.

How teams use workspace defaults

Three worked examples, from a quiet ops pilot to onboarding staff at an accounting firm.

Ops team pilot

In-house operations team, one team in a 30-day pilot

Salaried professionals worry about feeling clocked, and every person who installs Rize starts with a different schedule and notification setup.

With Rize: The admin sets the tracking schedule to working hours and turns notifications off in Defaults before inviting anyone. Every pilot member starts with the same quiet setup and comparable data.

Agency rollout after a pilot

Retainer agency moving from one team to the whole workspace

Pilot members tuned their own minimum time entry sizes, so one team's burn report counts short tasks and another's drops them.

With Rize: The admin saves one minimum time entry size and applies it to all users. The next month's burn reports line up across teams, and new hires inherit the same setting.

Accounting firm onboarding staff

Flat-fee firm with remote and offshore staff

Each new hire is walked through the same settings screens by whoever onboards them, and some never get the tracking schedule right.

With Rize: Defaults are saved once. Each new member inherits them on accepting the invitation, and the roster with titles, departments, and teams exports to CSV for the partners.

Frequently Asked Questions

In Rize, a workspace admin opens Members, then Defaults, and sets the language, time entry sizes, automatic tracking schedule, and notifications. Apply to all users pushes those settings to every active member, and new members inherit them when they accept an invitation.

Yes. Once the defaults are saved, anyone who accepts an invitation inherits them, so a new hire is set up correctly before their first tracked hour.

Yes, for the settings on the Defaults tab. Apply to all users changes those settings for every active member, including admins, and overrides any personal changes they made, so Rize asks you to confirm first. Settings outside the Defaults tab are not touched.

Yes. The Tracking section of Defaults sets the automatic tracking schedule with one row per weekday, and Rize starts and stops tracking on that schedule. Turning every day off means unrestricted tracking.

Yes. The Notifications section switches break notifications, the distraction blocker, meeting notifications, and focus notifications on or off. Save it and apply to all users, and an admin can still turn one back on for a single member from their edit sheet.

Toggl Track and Clockify are manual trackers, so a team's data depends on each person starting and stopping timers. Rize tracks time automatically, and workspace defaults set the tracking schedule, notifications, and time entry sizes once, before a new member's first tracked hour.
