The questions teams actually ask
These come up in almost every demo. Reading them first means we can spend your call on your workflow instead of the basics.
Tracking & accuracy
- Do I still have to start and stop timers?
- No. Rize tracks apps, websites, and documents in the background and builds your time entries from that activity. There is no clock in or clock out step, which is what removes the daily admin of chasing people who forgot to start a timer.
- How long does it take before the AI tags time accurately?
- Plan on reviewing entries for the first two to three weeks. Rize learns from your corrections plus the keywords and prompts you set per client, and auto-tags once it clears your confidence threshold. Teams that set client keywords on day one get usable tagging faster than teams that wait for the AI to infer everything.
- Does Rize track all my monitors at the same time?
- No. Rize records the active window only, so one moment maps to one activity. Two monitors do not produce two parallel time entries or double-counted hours.
- How does Rize handle meetings?
- Rize matches your calendar events against tracked sessions. Accuracy depends on what is in focus: if you are taking notes in another app while the call runs, the active window is that app and not the meeting, so review meeting entries during your first weeks and correct the ones that drifted.
- Can Rize tag time to the right project in our project management tool?
- Yes. Rize imports your clients and projects from the tools you already use, then tags tracked time against that list on its own. You are picking from your real project names rather than retyping them.
- What is the difference between a label and a task in Rize?
- A label describes the type of work: email, client meeting, video editing. A task is a project management item with an assignee and a due date, closer to what you would find in Asana or ClickUp. Labels only classify how time was spent, so they carry no assignee and no due date.
- How does Rize handle time I spend traveling or away from my computer?
- It does not capture that time on its own, because Rize reads the active window on your machine. You can add it by hand, and if you block travel on your calendar, Rize can use that event as a reference when tagging.
- How do AI-generated reports work, and can they be scheduled or shared automatically?
- AI-generated reports in Rize are prompt-based. You write a question or report template, and the Rize agent queries your time data and produces a formatted report. Reports can run on a schedule or on demand, and the output can be downloaded as a PDF or shared. They can also link directly to specific clients or projects inside the dashboard.
- What happens if Rize is tracking the wrong active window during a meeting, and how do I make sure meeting time gets logged correctly?
- Rize tracks whichever window is active on your screen. During meetings this can cause gaps because your active window is often a notes app or a shared screen rather than the meeting itself. Connecting your calendar is the most reliable fix: Rize pulls in the meeting title and uses it to tag that block of time to the right project or client. If you still see gaps, switching back to the meeting window periodically helps Rize detect that you are in a call. For phone calls or meetings that happen entirely off the computer, you can drag and drop a manual time entry onto the calendar.
- Does Rize stop tracking automatically when I step away from my computer, and what counts as idle?
- Yes, Rize stops tracking after five minutes of no mouse or keyboard input. It reads the system-level idle signal, so it never actually listens to your mouse movements or keystrokes directly. The one exception is when a meeting application is open: Rize assumes you may still be in the call even if you are not touching the keyboard, so it keeps tracking in that case.
- Can Rize track time to ClickUp subtasks, not just top-level tasks?
- Yes, Rize imports subtasks from ClickUp and flattens them into individual Rize tasks that stay linked to the parent. To keep context, the subtask name in Rize includes the parent task name, so instead of a generic label like 'Prep' you would see something like 'Client Name – Prep'. You can then track time directly to those subtasks just as you would in ClickUp.
Privacy
- Does Rize take screenshots or record what I type?
- No. Rize does not capture screenshots, keystrokes, passwords, or the content inside your documents. It records which application or site was in focus and for how long. This is the difference between a productivity tool and a surveillance tool, and it is the reason teams get less pushback when rolling it out.
- What happens to time I spend on personal things during the day?
- It shows up as its own category, not as billable client work. You can see it, and you can leave it out of anything you invoice against. Nothing personal is hidden from you and nothing personal is billed to a client by accident.
Billing & exports
- Can I export time by client for monthly invoicing?
- Yes. Filter time entries by client, project, or label and export to CSV. Pro and Team plans add scheduled client reports in PDF and CSV, so the monthly billing pull becomes a recurring report instead of a manual export.
- We bill flat rate. Is there a reason to track time at all?
- Yes, to find the accounts that quietly lose money. Flat-rate work only shows its true margin when you know the hours behind it, and over-serviced clients are invisible until the time is on record. That is the number that tells you which retainers to reprice.
- Can Rize generate profitability or margin reports by client, not just time reports?
- Yes, Rize includes a live profitability view at the org level. Once you add a revenue amount per client and a cost rate per team member, Rize calculates margin automatically as time is tracked. You can see margin across all clients at a glance, drill into any single client, set a time budget per contract, and watch how margin changes over time without waiting until month-end to run a report.
- Can Rize connect to our data or reporting stack via an API or MCP so we can pull time data into our own dashboards?
- Yes. Every feature available in the Rize interface is also exposed through the API and an MCP connection. This means you can query time data, trigger reports, and push information into external tools such as Notion, Claude, or a custom dashboard without being limited to Rize's built-in views.
Teams & admin
- Can admins lock settings so the team cannot change them?
- Yes. The Team plan includes admin settings and permissions, so tracking rules, tags, and reporting stay consistent instead of drifting per person. Shared prompts keep AI tagging uniform across everyone rather than each person training their own.
- How many seats do we need, and what does a team cost?
- The Team plan is $29.99 per seat per month billed annually, with a two-seat minimum. It includes team dashboards, admin permissions, client and project profitability, and dedicated onboarding. Most teams pilot with two or three people before rolling out wider.
- What support do we get while rolling Rize out to a team?
- You get named people in your channel during onboarding, not only an account lead. On larger rollouts several of us stay reachable through that period, so questions get answered in minutes instead of the next day.
- Can AI-generated reports be sent automatically to individual team members and to a Slack channel, not just to admins?
- Sending reports to individual members is on the roadmap and partially supported today. You can set up a shared prompt (called a skill) that runs as a report for each person, and the rep indicated this could be configured so each team member receives their own slice of the data. Slack delivery is not yet available as a built-in option; reports currently go out by email. The rep noted Slack as a feature request and said it would be more effective than email for daily check-ins.
Setup & trial
- Is there a trial, and do I need a credit card?
- Every plan includes a free 7-day trial and no credit card is required to start. You can invite a teammate during the trial to see how tagging and reporting behave with more than one person's data.
- Does Rize work on mobile?
- Not yet. Rize is a desktop application for macOS and Windows, because desktop activity is where the billable work actually happens. If most of your team's day is on a phone, Rize is the wrong fit and we would rather tell you that now.
- How do custom fields or project attributes from our project management tool map into Rize?
- Rize imports clients and projects from your project management tool, but custom fields do not transfer automatically. You can organize time by client and project inside Rize, and you can use labels to represent categories of work. For grouping by a unique identifier such as a project number, bring your data structure to the call and we will map it before you roll out.
- Can I migrate my existing project, client, and tag setup from another time-tracking tool into Rize?
- Migration is possible in most cases. Clients and projects map directly, and tags in tools like Toggl correspond to labels in Rize. The rep recommended starting with clients, projects, and labels first before layering in tasks, because that combination reaches the highest automation accuracy fastest. Bring your existing list to an onboarding call and the team can help map everything across.
